Operational Support Executive ( 2 Positions)

Role Overview:

As an Operational Support Executive at AI Certs™, you will play a vital role in ensuring the smooth and efficient operation of various aspects of our organization. Your attention to detail and dedication to operational excellence will contribute to our mission of certifying and empowering one billion individuals in the fields of AI and Blockchain.

Responsibilities:

1. Administrative Support:

  • Provide administrative assistance to various departments within the organization.
  • Manage and maintain office supplies, equipment, and facilities.
  • Assist in scheduling meetings, appointments, and travel arrangements for team members.
  • Prepare and distribute internal communications, including memos and announcements.
  • Handle incoming and outgoing mail and packages.

2. Data Entry and Record Keeping:

  • Accurately enter data into organizational databases and systems.
  • Maintain and update records, files, and documentation.
  • Ensure data integrity and confidentiality.
  • Generate reports and summaries as needed.

3. Customer Support:

  • Respond to inquiries and provide support to customers and learners.
  • Address customer concerns and issues in a timely and professional manner.
  • Collaborate with customer support teams to resolve complex queries.
  • Maintain a high level of customer satisfaction.

4. Process Coordination:

  • Assist in coordinating and implementing operational processes and workflows.
  • Collaborate with team members to streamline processes and improve efficiency.
  • Ensure compliance with established procedures and policies.

5. Documentation and Reporting:

  • Prepare and maintain operational documentation, manuals, and guidelines.
  • Generate regular and ad-hoc reports for management review.
  • Analyze data and provide insights to support decision-making.

6. Quality Assurance:

  • Participate in quality control and quality assurance activities.
  • Monitor processes and outputs to identify and address potential issues.
  • Contribute to continuous improvement initiatives.

Qualifications:

  • Bachelor’s degree in business administration, Operations Management, or a related field.
  • Proven experience in administrative and operational support roles.
  • Strong organizational and multitasking skills.
  • Attention to detail and commitment to accuracy.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software and tools, including Microsoft Office.
  • Ability to work effectively in a team and collaborate across departments.
